Data protection and information for the management of Code Base Camp participants’ data
The Code Base Camp is organised in cooperation between Fachhochschule Vorarlberg GmbH (hereinafter referred to as “FHV”) and the Russmedia Group (Russmedia GmbH, Russmedia Digital GmbH, Russmedia Verlag GmbH, ANTENNE VORARLBERG GmbH, Russmedia IT GmbH) (hereinafter referred to as “Russmedia”). We handle your personal data with the utmost care and diligence. All data processing activities are carried out in compliance with applicable national and European data protection regulations.
Purpose of data processing, categories of data
We process all personal data that you provided during your registration for participation in the Code Base Camp and submitted to FHV for the purposes of registering and carrying out the event. These data are also made available to Russmedia and are processed using automated systems.
The information you provide is processed and stored separately by FHV and Russmedia. This includes, for example, your name, contact details (email address, postal address, etc.), name of legal guardian, the selected Code Base Camp and its dates, consent forms for receiving information or for photo and video recordings, as well as photos and videos taken during the course. Additional data required for the execution of the event—such as module selection, attendance/non-attendance, or participation in the certificate ceremony—will also be processed.
To attend the certificate award ceremony, registration via an online tool may be required. In this case, the following data will be processed: salutation, title, name, address, email, telephone number, and seat reservation.
Photographs and video recordings
If you have consented to photo and video recordings, the resulting image and/or video material may be used for marketing purposes via modern media, such as on FHV’s website, social media platforms (e.g. Facebook, YouTube), and potentially in printed brochures or posters. Russmedia may also use such material for marketing purposes, e.g. in newspapers, online platforms, photo galleries, and similar channels. Usage is limited to the extent necessary for organisational purposes and is carried out in a transparent manner, applying appropriate technical and organisational security measures to protect your data.
Legal basis
Registration for the Code Base Camp constitutes a civil-law contract for participation. The legal basis for data processing associated with the execution of the Code Base Camp is Article 6(1)(b) GDPR, as it is necessary for the performance of the contract.
The legal basis for the use of photo and video material is Article 6(1)(a) GDPR, based on the participant’s and/or legal guardian’s consent. You may withdraw your consent at any time by sending an email to code-base@fhv.at. Any processing carried out prior to the withdrawal remains lawful.
Providing your personal data is not required by law; however, the data necessary for the execution of the Code Base Camp must be provided for the contract to be fulfilled. Participation is not possible without providing the required data.
Recipients
The collected data will be processed by employees of FHV and Russmedia respectively.
If photos or videos are used for creating brochures or posters, the respective personal data will be shared with the printing service providers commissioned for this purpose.
For registering to attend the final event, it may be necessary to use the online tool Xing Eventmanager, operated by Xing Events GmbH, Sandstr. 33, 80335 Munich, Germany. A Xing account is not required for this purpose. More information on data protection at Xing Events GmbH is available at:

During this registration process, you may provide the names of attendees for the purpose of reserving specific seats.
For this event registration via the online tool, FHV GmbH and Xing SE act as joint controllers under Article 26 GDPR, and a joint controller agreement has been established. Xing SE is solely responsible for the processing of the registration data and for implementing the necessary technical and organisational measures. Individuals affected by this data processing may exercise their rights with either of the two controllers.
Data retention period
Personal data will be stored by FHV for a period of three years and will then be deleted, unless an objection to processing is raised beforehand.
Any images and/or video material (including audio) will be stored for as long as necessary for the purposes for which it was collected. The retention period depends on factors such as: the type of image (number of persons, environment depicted), the context in which the material was captured, its relevance for FHV’s or Russmedia’s documentation (e.g. historical record, anniversaries, publications), its usability on websites and social media (e.g. YouTube), the degree of intrusion into privacy, and its suitability for archiving.
Data entered into the Xing Events Manager will be deleted within one year of the event’s conclusion.
Your rights
With regard to your personal data, you have the following rights: access, rectification, erasure, restriction of processing, data portability, withdrawal of consent, and objection to processing. Requests related to these rights can be submitted to:

If processing is based on consent, you may withdraw this consent at any time via email to datenschutz@fhv.at. This does not affect the lawfulness of any data processing carried out before the withdrawal.
If you believe that your data is being processed unlawfully, please contact us first at datenschutz@fhv.at. You also have the right to lodge a complaint with the Austrian Data Protection Authority (Datenschutzbehörde), the competent supervisory authority.
